Full-TimePosition SummaryWe are seeking a highly organized and detail-oriented Benefits Administration & Data Operations Specialist to support daily administrative operations, high-volume data processing, client service activities, and benefits administration functions within a professional office environment.This role combines advanced data entry responsibilities with front desk coordination and administrative support in the employee benefits and healthcare administration field. The ideal candidate is dependable, accurate, organized, and capable of handling confidential information while maintaining exceptional customer service standards.This position plays a critical role in ensuring accurate account administration, enrollment processing, claims-related support, and operational efficiency.Key ResponsibilitiesData Entry & Benefits Administration
  • Perform high-volume data entry with exceptional accuracy and attention to detail
  • Review, verify, and reconcile enrollment information, member records, employer data, and supporting documentation
  • Enter, update, and maintain member, employer, and benefits information within internal systems
  • Process enrollments, eligibility updates, account changes, terminations, and related documentation
  • Identify discrepancies or processing issues and escalate appropriately
  • Generate reports, spreadsheets, and operational documentation
  • Assist with claims-related administrative processing and account maintenance
Administrative & Front Office Support
  • Greet clients, vendors, and visitors professionally
  • Answer and direct incoming phone calls and emails
  • Assist clients and employer groups with administrative inquiries and documentation requests
  • Process incoming and outgoing mail, deliveries, and correspondence
  • Support daily office operations and workflow coordination
  • Assist with scanning, filing, document preparation, and records retention
Compliance & Confidentiality
  • Maintain confidentiality of sensitive member, employer, and health-related information
  • Ensure compliance with company policies, HIPAA requirements, and applicable regulations
  • Assist in identifying opportunities to improve workflow accuracy and operational efficiency
Required Qualifications
  • High school diploma or GED required
  • Minimum 2 years of experience in:
    • Data entry
    • Administrative support
    • Insurance operations
    • Healthcare administration
    • Benefits administration
    • Customer service
  • Strong computer proficiency, including Microsoft Office Suite (especially Excel and Outlook)
  • Experience working with databases, spreadsheets, and office management systems
  • Excellent typing accuracy and data entry speed
  • Strong organizational and multitasking skills
  • Ability to prioritize work and meet deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Ability to maintain professionalism and confidentiality
Preferred Qualifications
  • Experience in employee benefits, insurance brokerage, healthcare administration, or third-party administration (TPA)
  • Familiarity with HSA, FSA, HRA, COBRA, or benefits administration processes
  • Experience with CRM, enrollment, or benefits administration software
  • Associate degree or coursework in business administration, healthcare administration, or related field preferred
