- Provide administrative support including calendar management, scheduling meetings, and coordinating appointments
- Draft, edit, and format correspondence, reports, and internal communications
- Maintain organized electronic and paper filing systems
- Assist with preparation of presentations, meeting materials, and board documents
- Track deadlines, tasks, and follow-ups to support organizational priorities
- Serve as the first point of contact by greeting visitors and directing them appropriately
- Answer, screen, and route phone calls while responding to general inquiries
- Manage incoming/outgoing mail, deliveries, and correspondence
- Maintain a professional and welcoming office environment
- Perform data entry and maintain databases, records, and documentation
- Operate office equipment and coordinate maintenance or repairs as needed
- Order and maintain office supplies and materials
- Support general office organization and administrative workflows
- Assist with scheduling mentoring sessions, workshops, and events
- Maintain participant records, attendance tracking, and program files
- Support communication with mentors, mentees, and community partners
- Provide logistical support for meetings and special events
- Complete forms and documentation in accordance with organizational procedures
- Perform additional duties as assigned to support day-to-day operations
- Strong written and verbal communication skills
- Excellent customer service and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Professional demeanor and ability to interact with diverse stakeholders
- Ability to maintain confidentiality and exercise sound judgment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with databases, scheduling tools, and office systems preferred
- Social media administrative experience preferred, including LinkedIn and other platforms
- High school diploma or equivalent required
- Prior administrative, receptionist, or office support experience preferred
- Nonprofit or education-related experience is a plus
- Experience planning and coordinating events preferred
- Prolonged periods of sitting and computer work
- Occasional lifting of up to 15 pounds
