Position Summary:
The Administrative Assistant provides comprehensive administrative and payroll support to the management team. This role assists with daily office operations, employee documentation, payroll processing, and compliance with California labor laws. The ideal candidate is organized, detail-oriented, and capable of handling confidential information with professionalism.

Key Responsibilities:
Payroll Administration (California-Specific):
Assist with biweekly or semi-monthly payroll processing to ensure accuracy and compliance with California wage and hour laws.
Prepare and maintain payroll records, timesheets, and attendance data.
Support calculation and entry of wages, overtime, and other pay adjustments, including meal/rest period compliance.
Knowledge in QuickBooks, accounts payable, & accounts receivable.
Help process employee deductions, garnishments, and benefit contributions.
Stay updated on California tax rates, wage updates, and local payroll regulations.
Assist in preparing reports and audits related to payroll and personnel data.
Administrative and HR Support:
Provide administrative support to management, including scheduling, correspondence, and maintaining organized records.
Assist with new hire onboarding, including preparing offer letters, I-9 verification, DMV regulations and tracking, and personnel files.
Maintain accurate and confidential employee files in compliance with California record retention laws.
Support benefits administration, open enrollment, and workers compensation claim processing and tracking claims.
Help coordinate meetings, training, and employee events.
Assist with recruitment tasks such as posting job openings and scheduling interviews.
Answer general employee questions regarding company policies, payroll, and benefits.
Ensure compliance with California employment laws, such as CFRA, PDL, PFL, Bereavement, FEHA, and other types of leaves not specified here.
Wage Orders such as FTB, IRS, EDD, and Child Support Withholdings.

Qualifications:
Education: High school diploma or equivalent required;Associate or Bachelor s degree preferred.
Experience: 2 4 years of administrative experience, with at least 1 2 years of payroll support experience in California.
Knowledge of:
o California wage and hour laws, including rest/meal period compliance.
o Payroll software and HRIS systems (e.G., ADP, Paylocity, or Paycom).
o Basic HR principles and California employment regulations.
Skills:
o Strong organizational and multitasking abilities.
o Excellent attention to detail and accuracy.
o Strong written and verbal communication skills.
o Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
o Knowledge in Excel formulas and PivotTables
o Ability to handle sensitive information discreetly.
o Bilingual (English/Spanish) preferred but not required.

Full-time, on-site position.
Typical schedule: Monday Friday, 8: 00 a.M. 5: 00 p.M.
May occasionally require overtime during payroll or audit periods.
